DeckBuild LLC (“DeckBuild,” “Company,” “we,” or “us”) is committed to protecting your privacy. This Privacy Policy describes how we collect, use, and share information when you access or use our website, platform, and related services (collectively, the “Service”).
By using the Service, you agree to the collection and use of information as described in this Privacy Policy.
1. Who We Are
DeckBuild LLC is the controller of personal information collected directly from users of the Service. Where we process personal information on behalf of a business customer (for example, a contractor using DeckBuild with their own clients), that customer is the controller and we act as a processor on their behalf.
Separately, when a homeowner or other recipient interacts directly with the Service — for example, by viewing a shared proposal, customizing selections, sending messages, or applying an electronic signature — we may collect certain information from that individual directly, as described below. Our role with respect to that information may vary depending on the interaction, and where we process it on behalf of a business customer, that customer remains the controller.
2. Information We Collect
Information You Provide. When you register for or use the Service, you may provide us with:
- Your name, email address, phone number, and other contact details
- Your company name and related business information
- Account credentials (username and password)
- Project data, including deck designs, dimensions, material selections, and related measurements
- Conversational or chat inputs you submit to AI-assisted features of the Service
- Information about other users you invite or add to your account
- Information about your clients or homeowners, such as names, project addresses, and site details, which you enter in connection with a project
- Messages and communications you send through the Service, including proposal-related messages between a contractor and a homeowner
- Electronic signature information and related signing records, including signer name, email, IP address, timestamp, and signature audit trail
- Proposal selections and customizations made by a recipient (such as material, color, or add-on choices)
- Any other information you choose to submit through the Service
Providing this information is voluntary, but certain features of the Service may not be available if you choose not to provide it.
Information We Collect Automatically. When you use the Service, we automatically collect certain technical and usage data, including:
- Your IP address and approximate location
- Browser type and version
- Operating system
- Device identifiers
- Pages visited, links clicked, and time spent on the Service
- Referring and exit URLs
- Session duration and frequency of visits
This data helps us understand how users interact with the Service so we can improve performance, reliability, and features.
Payment Information. We use Stripe, a third-party payment processor, to handle all payment transactions. We do not collect, store, or have access to your credit card or financial account information. All payment data is collected and processed directly by Stripe in accordance with their privacy policy and PCI-DSS compliance standards.
3. Tracking Technologies
We use cookies and similar technologies (such as web beacons and local storage) to support your experience on the Service. These may be used to keep you logged in, remember your preferences, and analyze usage patterns.
We may also work with analytics partners who use these technologies to help us understand how users navigate and engage with the Service. You can adjust your browser settings to decline cookies, though doing so may limit certain features of the Service.
4. How We Use Your Information
We use the information we collect to:
- Deliver the Service: Create and manage your account, enable project creation and collaboration, and provide platform features.
- Communications: Send transactional emails related to your account, projects, billing, and platform updates. With your consent, we may also send marketing or promotional messages about new features, offers, or relevant industry content, including by email and through in-app notifications. You may opt out of marketing emails at any time using the unsubscribe link in any such message. In-app messages are part of your use of the Service; opting out of marketing emails does not remove in-app notifications.
- Testimonials and Promotion: Where you opt in through a designated feature of the Service (such as submitting a “Shout Out”), we may use your first name, last initial, company name, and company logo in our marketing and promotional materials. You may revoke this for future use at any time by contacting us at info@deckbuild.com.
- Analytics, Improvement, and Industry Insights: Analyze aggregated usage data to identify trends, improve the Service, and inform product decisions. We also develop aggregated, anonymized, and de-identified data, including industry benchmarks, pricing indices, market reports, and similar insights, derived from usage across our customer base. We may publish and distribute these aggregated insights to third parties, including suppliers, lumberyards, manufacturers, and agencies. This data is aggregated across multiple customers and does not identify you, your business, or any individual user.
- Security and Compliance: Detect, investigate, and prevent fraudulent or unauthorized activity, and comply with applicable legal obligations.
- Customer Support: Respond to and follow up on your inquiries, including questions raised through AI-assisted features.
5. AI-Powered Features
DeckBuild uses artificial intelligence to power certain features of the Service, including design assistance, material takeoff calculations, and the Deckster assistant. We use Anthropic's Claude API to provide these capabilities.
Your project data and any conversational or chat inputs you submit to AI-assisted features — including deck designs, measurements, material selections, and the text of your interactions with the Deckster assistant — are never used to train or improve AI models, by us or our AI providers. Data submitted to the AI features of the Service is used to generate responses within your session and is handled in accordance with Anthropic's data processing terms. In addition, DeckBuild personnel may review conversational inputs and unresolved questions submitted to AI-assisted features in order to respond to or follow up on your inquiries and to support and improve your experience with the Service.
6. Proposals, Electronic Signatures, and Recipients
The Service allows contractors to generate proposals and share links that homeowners and other recipients can access, customize, message through, and electronically sign, in some cases without creating an account. When a recipient interacts with a proposal, we may collect the information needed to provide that functionality, including contact details the contractor has entered, the recipient's proposal selections and messages, and — where the recipient applies an electronic signature — signer identity information, IP address, device data, timestamp, and a signature audit trail.
We use this information to display the proposal, enable customization and messaging, generate and preserve a record of any electronic signature, and support the integrity and evidentiary value of signed documents. We may retain executed documents and their associated signing records for as long as reasonably necessary to preserve that record or as required by law, which may be longer than the retention periods described elsewhere in this Policy. We do not process payments between contractors and homeowners; where a financing referral link is offered, any information you provide to the financing provider is governed by that provider's own privacy policy.
7. How We Share Your Information
We do not sell your personal information. We do develop and distribute aggregated, anonymized, and de-identified insights as described in Section 4; because this data does not identify you or any individual, it is not personal information. We may share your personal information only in the following circumstances:
- Service Providers: We work with third-party vendors who help us operate the Service, including cloud infrastructure, database hosting, payment processing, transactional email delivery, analytics, and AI/model providers. These providers are authorized to use your information only as necessary to perform services on our behalf.
- Business Transfers: If DeckBuild LLC is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a materially different privacy policy.
- Legal Requirements: We may disclose your information if required to do so by law, court order, or government authority, or where we believe disclosure is necessary to protect the rights, property, or safety of DeckBuild LLC, our users, or the public.
- With Your Consent: We may share your information with third parties when you have given us your explicit consent to do so. For example, where you opt in through a designated feature of the Service (such as a “Shout Out”), your first name, last initial, company name, and company logo may be displayed publicly in our marketing and promotional materials and in materials distributed to third parties.
- Aggregated Insights: We may publish and distribute aggregated, anonymized, and de-identified data, which does not identify you or any individual, to third parties including suppliers, manufacturers, lumberyards, and agencies, as described in Section 4. This does not involve your personal information.
- Shareable Links and Exported Documents: The Service allows you to generate links, QR codes, and exported documents (such as plan PDFs) that contain project information, including deck designs, measurements, and client or homeowner details you have entered, such as a project address. These links use unique, non-guessable URLs and expire after a set period (currently twelve (12) months). However, during that period, anyone who has the link, scans the QR code, or possesses the exported document may view the project information it contains without logging in to the Service. You are solely responsible for deciding whether and how to distribute these links, codes, and documents, and to whom.
Your mobile phone number and SMS opt-in data are never shared with third parties for marketing or promotional purposes.
8. Data Retention
We retain your personal information for as long as your account is active or as needed to fulfill the purposes described in this Privacy Policy, including compliance with legal, tax, and accounting obligations. When your information is no longer needed, we will delete or de-identify it in a secure manner. Aggregated, anonymized, and de-identified data that no longer identifies you may be retained and used indefinitely, including after your account is closed. Executed documents, electronic signatures, and their associated audit records may be retained for a longer period as reasonably necessary to preserve the integrity and evidentiary value of the signature record or to comply with legal obligations, including after your account or a related proposal is closed.
If you close your account, we will delete or anonymize your personal information within a reasonable period, except where retention is required by law.
9. Your Rights and Choices
Regardless of where you are located, you may:
- Access or update your personal information through your account settings
- Request deletion of your account and associated data by contacting us
- Opt out of marketing emails by clicking the unsubscribe link in any marketing communication
- Opt out of SMS messages by replying STOP to any SMS we send
- Request a copy of the personal information we hold about you

10. Children's Privacy
The Service is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that we have inadvertently collected such information, we will delete it promptly.
11. Third-Party Links
The Service may contain links to third-party websites or integrations with external services. DeckBuild LLC is not responsible for the privacy practices of those third parties. We encourage you to review the privacy policies of any third-party services you access through or in connection with the Service.
12. International Users
DeckBuild is operated from the United States. If you access the Service from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country. By using the Service, you consent to this transfer.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will post the revised version on our website and update the Effective Date at the top of this page. We encourage you to review this policy periodically. Continued use of the Service after changes are posted constitutes your acceptance of the revised policy.
